Associate Business Relationship Manager

A long established and progressive winery is in search of  a motived individual looking to establish themselves as a vital contributor to an industry leading company. Acting on their own initiative, the Associate Business Relationship Manager  will focus on Compliance, being a crucial liaison between the production and business sides of the company. The ideal candidate will be highly organized, detail oriented, with excellent communication skills, and the ability to work within a team setting, but also contribute individually to ensure business initiatives are moving forward.

DUTIES: 
  • Performs weekly ingredient usage audit, identifying wine lots falling outside of established guidelines and notifies winemakers of need for corrective action
  • Assists the Director Business Services – Federal Bulk Operations:
  • Monitors the Lot Percent Audit Report notifying winemakers of specific wines identified where the item description falls out of speck with the actual lot attributes; coordinates resolution based upon winemakers instructions
  • Participates in the weekly Winemaking cross functional meetings with Planning, QC and CRG presenting information on compliance matters
  • Working with the Research and Development Winemaker, audits R&D activity and enter all transactions into company system to ensure accurate records are properly documented
  • Assists with the regulatory research and review of non-standard production requests elevated by Winemaking to identify areas of risk and/or opportunity
  • Review Process Control  training documentation to ensure modules include adequate regulatory background requirements to ensure employees understand the ‘ why’ behind given tasks
  • Serves as the official Cork Board Member for both Private and Public Federal Compliance Bulk Sites
  • Assists with the development of regulatory guidelines by country identifying allowable operations specifically as it pertains to company imports
  • Monitors the Global Maximum Residue Level (MRL) database and updates the internal Pesticides Regulations by Country Report; distributes as a reference guideline to winemaking and Grower Relations
  • Working cross-functionally with VP CRG, Winemaking and Director Business Services – Federal Bulk Operations, coordinates the sourcing of Imported and Domestic Bulk wine by monitoring the process flow from receipt of contract to receipt of goods
    • Leads weekly update status meetings with Import sourcing team consisting of CRG, Winemaking, Compliance and Process Control
    • Coordinates with suppliers to establish timeline requirements for receipt of samples
    • Notifies Director Corporate Compliance – Case Operations when COLA’ s are required prior to receiving samples
    • Coordinates with suppliers and freight forwards on the timing of loading/shipping of purchased import wines
    • Collaborates with Freight Forwarders and suppliers on acceptable freight quotes then based upon these quotes, coordinates the logistics from supplier to the Port of Oakland keeping Supplier preferences in mind, and determines number of required containers per freight forwarder
    • Monitors receipt of required regulatory import documents to eliminate any potential holds or obstacles with ports/custom
    • Collaborates with Winemaking and Production Planning to communicate delivery details
    • Audits and releases all Customs Broker Tax and Duty payment to Director Corporate Compliance – Case Operations for final approval and payment
    • Audits and releases all freight and supplier invoices to the Director Business Services – Bulk Operations for final approval and payment 
  • Collaborates with Accounting to ensure all scheduled bulk wine receipts have purchase order costing information entered in the Company System Delivery Schedule prior to receipt of product to ensure accurate costing
  • Reviews the End of month reconciliation of Company System Still Wine Detail report against the Final 2056 Record of Still Wine report to determine information is accurately recorded in preparation of generating the Federal Monthly Report of Wine Premises Operations for all company bonded facilities.  Where there are discrepancies, position is responsible for reconciling
  • Assists with the Federal TTB/Financial Year End Bulk Physical Inventory for all company bonded premises through reconciliation
  • Provides direct support on projects as they relate to Federal Compliance  - Winemaking operations which may include developing, managing, and updating project timetables to ensure stakeholder visibility; manages workflow and obtains stakeholders’ sign off of time sensitive tasks to ensure project completion within agreed time frame

MINIMUM REQUIREMENTS

Education and Experience
  • B.A./B.S in business related field or 3 - 5 years’ experience in business related field
  • Winery experience preferred

Knowledge, Skills, and Abilities
  • Project Management; including the ability to take initiative and self-motivate on projects as well as motivate teams on common goals
  • Excellent written and verbal communication skills; must be a strong listener as well
  • Highly-organized and able to multi-task multiple complex projects; strong time management skills
  • Analytical and detail-oriented
  • Strong computer skills (Excel, Word). Proficient in desktop applications.  MS office and SAP experience preferred
  • Thrives well under pressure and in a fast-paced, changing environment
  • Effective team player. Maintains a motivating and positive attitude
  • Creative, energetic, and self-starter
