Senior Administrative Assistant

Our client in San Francisco is looking for an energetic administrative assistant to join their growing private practice. This person will be the right hand in the office. We are looking for someone who is self-motivated, organized, and adaptable. This is a full-time position with a competitive salary.


  • Answering phone calls and handling patient inquiries
  • Transcribing phone messages, taking dictation for letters and documents, taking minutes, filing, and faxing documents
  • Updating and maintaining contact lists, password book and office manual
  • Composing, proof-reading and editing correspondence and documents
  • Reading, monitoring and responding to emails
  • Maintaining office systems/supplies and equipment
  • Processing mail and paying bills
  • Managing schedules and calendars
  • Arranging travel
  • Managing and updating patients’ charts, billing and contact information
  • Driving employer to appointments and meetings as needed
  • Preparing patient visit data and codes for bookkeeper billings and accountant
  • Supervising/Coordinating with support staff, (e.g., IT technician, bookkeeper, CPA)
  • Run personal errands as needed
  • Handle confidential information


  • BA/BS
  • 4+ years of administrative/ executive assistant experience
  • Basic Human Resources knowledge
  • Excellent organizational and time management skills
  • Exceptional attention to detail and accuracy
  • Ability to handle confidential and sensitive information
  • Exceptional complex problem-solving; active listening, learning and critical-thinking skills
  • Excellent interpersonal and verbal communications skills
  • Excellent typing and dictation skills
  • Proficiency in MS Outlook and Office (e.g. Word, Excel, PowerPoint) & internet research
  • CA Driver' s license & clean driving record
  • Honest, ethical, dependable and hard-working
  • Able to monitor the performance of self and others
  • Adaptable and flexible
  • Proficiency with both PC and Apple Systems
  • Experience with QuickBooks and medical coding preferred
