Administrative Assistant - 1 month, 4 week project

The Training Coordinator is responsible for supporting Clinical Education and training related activities and company-wide training events, which may include activities within the Home Division. This person will also act as a liaison to the Human Resources department; and should be an organized and dedicated individual. The role will actively organize program processed, training tools and actions, in collaboration with and under the guidance of the Director of Education.

Essential Functions:

Clinical Education
• Provides administrative support for Clinical Education; including policy and procedures, and form updates; recording of meeting minutes and appropriate distribution; maintains document files on shared drives and Sharepoint (Word, Excel, PowerPoint, Visio)
• Processes and manages CDPH 391 Hemodialysis Technician/PCT Training Program Applications in conjunction with Regulatory Compliance and Clinical Education.
• Facilitates pre-event meetings, monitors timelines and ensures deadlines are met; schedules internal or external meetings and special events for the Clinical Education team.
• Be a liaison between the centers and Home Training and Education
• Supports Clinical Education administration related activities to include but not limited to:
? Super user for LMS
? Schedules training events in LMS
? Register, track, confirm remove or reschedule attendees for events
? Post presentations, course materials and test questions to LMS
? Track CEU’ s for each event
? Maintains Clinical Education filing system for all training (electronic/paper)
? Prepare agendas and coordinates presenters for Clinical Education events
? Reserves appropriate training room/venue based on capacity and meeting type
? Provides attendance sign-in-sheets, evaluation forms, and clinical orientation packets
? Follow up with post event meetings
? Analyze student evaluation results, roll-up data and maintain staff education and training metrics for each event
? Orders and maintains supplies as needed, including shipping and receiving materials
? Coordinates event logistics and disseminates information to the appropriate parties; direct long distance travelers/attendees to make travel arrangements through our hospitality services (i.e., airline reservations, hotel and car rental)
? Process expense reports and track budgets
? Schedule Educators for Clinical Education and make travel arrangements
? Develops and maintains audit tools for course completion
? Supports Director of Education and contributes to harmonious and constructive working relationships with all staff members, as well as other departments and outside parties to promote a positive and productive atmosphere
? Responsible for driving the culture through values and customer service
? Accountable for outstanding customer service to all external and internal customers
? Develops and maintains effective relationships through effective and timely communication
? Takes initiative and action to respond, resolve and follow up regarding customer service issues with all customers in a timely manner

Training Center
• Provide Customer service by creating a friendly, welcoming attitude to all visitors and staff
• Schedule appropriate training room for company-wide training events (special meeting/events, e.g., leadership meetings) based upon meeting type and capacity; provides catering services as needed
• Collaborates with facility manager regarding maintenance and repairs of training center
• Answers phones courteously and communicates messages appropriately and effectively in verbal or written form; able to initiate and follow up communications with other departments as assigned
• Shipping and receiving of materials, and replenishes office supplies for training center
• Provides tours of training facility when necessary
• Maintains a neat environment, including snack shack during and after events

Minimum Education & Experience:
• AA or AAS Degree from accredited college
• 3 years of administrative experience
• 3 years of event coordinator experience preferred

Minimum Knowledge, Skills & Abilities:
• Ensure confidentiality of employee and Satellite Healthcare information
• Strong Microsoft Outlook, Word, Excel, PowerPoint and SharePoint skills
• Learning Management System (LMS) skills; skills preferred
• Able to read, write, speak, understand and satisfactorily communicate with others in English via phone, email and in person
• Excellent organizational skills
• Able to monitor budgets and do expense reporting
• Able to plan events
• Able to manage time efficiently
• Medical terminology knowledge preferred

Job Type: Contract

Salary: $22.00 /hour
