Executive Assistant

Executive Administrator

 

Responsibilities:

 

Manage the calendar + cadence for the Commercial team and its 4 executives
  • Town Halls and other team events/meetings
  • QBRs, QSDs, deal reviews, talent reviews
  • Yearly planning meetings
  • Team offsites, dinners, internal and external conference presence
  • Coordination with recruiting on candidate interviewing processes
  • 1: 1s with front-line managers, other functional leaders
  • Customer calls, onsite visits, prep sessions
  • Manage distribution lists across the team and keep them updated

 

Team event logistics and support:
  • Quarterly recognition (at Town Halls) – run selection process, get inputs from comp team, secure awards (purchase and gather from floor), ensure event logistics are handled 
  • Sales contests – track menu of options, work with GTMSO to run and publicize the contests, purchase awards and manage their distribution
  • QBRs – assist in preparation of presentations

Support for 3 VP-level executives:
  • Manage calendars and be the face of those execs to the rest of the organization
  • Manage travel bookings and conference registrations
  • Prepare executive briefings for customer onsite meetings
  • Manage expense reporting (both for execs and approvals for front-line managers)
  • Order and provide lunches as needed 
  • Complete other project work as needed (conference prep, forecast meeting prep, team move coordination, remote visitor logistics)

 

Key skills/attributes:
  • 3-5  years experience of administrative support, at least 1 year with senior executives
  • Excellent written, phone and face-to-face communications
  • Outstanding office computer skills – including PowerPoint/Google slides
  • Highly organized and able to anticipate and manage the “ heartbeat” of a large org
  • Independent self-starter with a commitment to excellent and accurate work product
  • Flexible and able to take on any task with enthusiasm 
  • Able to build relationships with diverse individuals/groups and create a welcoming and productive business environment
  • Bachelor’ s Degree or equivalent experience
