Executive Assistant

St. Helena, CA

Employment Type: Direct Hire Position: Administrative/Clerical/Support Branch: San Francisco

OBJECTIVE:  Providing assistance to the Director of BOND. This diverse position will cover not only general administrative duties but will also include a variety of projects to manage and take to completion, as well as provide personal follow up, and managing communication with a highly sophisticated audience.




  • Operate in a private nature, necessitating coverage to sensitive information and contacts requiring significant discretion, judgment, tact, and diplomacy, as well as a thorough understanding of company policies and programs.
  • Take lead on special projects and personal requests as required.
  • Preserve CRM database; including but not limited to, reporting, creating and managing cases, campaigns, marketing lists, uphold client details. Independently gather, compile, and analyze information from multiple sources, and prepare a variety of complex reports and agendas.
  • Coordinate and facilitate events and meetings. Record meeting agendas and minutes.
  • Develop important relationships with key subscribers and patrons, trade accounts, strategic partnerships and stakeholders. This includes the scheduling of and follow up confirmations of Tours and Tastings.
  • Gain an in depth understanding of pricing, inventory, and vintages.
  • Manage and coordinate the Director’s schedule and calendar. Help arrange principal travel and work with travel agent to coordinate all travel needs. Maintain executive profile with travel agent. This includes the shipment of wine and collateral to various outlets.
  • Administrate charitable giving or participation. Coordinate donation inventory, logistics and help drive a successful outcome and follow up with benefactors.
  • Communicate on behalf of the Director in alignment with the domain culture and domain-specific language with sophisticated international audience. Answer telephone calls and tactfully handles inquiries and/or refers to appropriate party daily.
  • Optimize Director’s time by reading, researching, and routing email correspondence; providing quick responses where needed and providing pressing email reminders.
  • Administrate charitable giving or participation. Coordinate donation inventory, logistics and help drive a successful outcome and follow up with benefactors.
  • Work collaboratively with other Executive Assistants as well as internal teams: Logistics/Fulfillment, Finance, Hospitality/Events and Customer Service. May be called upon to help with tours and tastings and special events.
  • Hosts visits and tastings when needed.



  • Bachelor’s Degree
  • At least 5 years’ experience supporting senior executive. Excellent written and verbal communication skills; ability to interact effectively at all levels
  • Proficient in MS Office applications (Word, Excel, PowerPoint, Outlook) and ability to learn new technology.
  • Experience with a Customer Relationship Management software is a plus
  • Able to sit for long periods with significant computer work; able to walk in winery areas and ability to lift up to 50 lbs.
  • Possess valid California Driver’s License
