Front Desk Coordinator

 

Our client, which owns several luxury wine estates in Napa County, CA, seeks a Front Desk Coordinator. The successful candidate in this role will be the main point of contact for the administrative offices of these wineries and will provide customer care to winery-direct clients. This position must uphold the integrity of the company through clear and concise communication and by providing outstanding customer service.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES: 

  • Promptly answer all calls courteously and professionally.  Direct all incoming calls to appropriate person or department
  • Inquire about the nature of all calls prior to transferring to help identify solicitations
  • As needed, handle customer inquiries
  • Document and relay messages as appropriate
  • Retrieve and return voicemail messages in main mailbox
  • Greet all guests warmly and genuinely
  • Provide customer assistance with shipments, orders, sign up, etc.
  • Handle customer communications
    • Manage each winery’s general email accounts
    • Open and sort correspondence, standard mail, faxes, etc., and forward to appropriate personnel
    • Maintain check log of incoming payments
    • Assist in CRM email queues
    • Mail consumer receipts
  • Enter and update winery-direct subscriber data
    • Qualify new customer imports from website
    • Monitor for consistency and accuracy
    • Record customer interaction
  • Maintain appearance and cleanliness of conference room and office kitchenette
  • Monitor and order office supplies and materials
  • Oversee maintenance of office equipment
  • Ensure area is clean and presentable before and at end of day
  • Filing

  

 

Job Requirements

QUALIFICATION REQUIREMENTS:

  • Minimum High School diploma
  • Minimum 2 yrs experience in high-end luxury environment preferred
  • Exceptional customer service skills
  • Impeccable communication skills; written and oral
  • Strong organizational skills
  • Ability to multi-task, think analytically
  • Excellent work ethic and positive attitude
  • Detail oriented
  • Proactive, honest and trustworthy
  • Ability to work under pressure and work independently
  • Database management skills and experience
  • Proficiency in Microsoft, CRM , NAV
  • Passionate and knowledgeable about wine and willingness to expand existing knowledge
  • Valid California driver’s license and be at least 21 years of age

Willingness and ability to:

  • Lift and handle materials weighing up to 50 pounds
  • Work overtime whenever required
  • Sit for prolonged periods of time
  • Grasp, stoop, squat, push or pull, carry, and reach over shoulder
