THE ROLE

The Office Manager is responsible for creating and maintaining a safe, healthy and productive work environment and plays a critical role in helping create a great place to work. This role manages all of the day-to-day office operations including facilities, maintaining and organizing supplies, vendor relationships, company events, and is the internal partner to internal  IT Consultants. This role is the primary point of contact for all visitors, vendors and guests and acts as the heartbeat of the SF headquarters. The Office Manager reports directly to the People & Environment Manager. Opportunities for growth are limitless.

 

KEY RESPONSIBILITIES

General Office/IT Management and Administration.

Main point of contact for all office operations and productivity - provide best in class customer service, communication and follow through.

Full ownership of IT and management of IT consultants.

Create, implement, and improve procedures and processes. 

Act as a host and handler for all visitors, ensuring everyone feels welcome and is included in the fun.

Purchase and maintain adequate supply of office supplies and groceries.

Troubleshoot general IT requests, computer setup and manage equipment inventory/ordering.

Assess needs/requests for new office equipment - place orders, assemble and deliver required equipment; manage office-related vendors and contracts.

Create and maintain org chart, employee photos/contact info and seating chart.

Manage office-related budgets with a goal of balancing quality, cost and sustainability - ensure accurate and timely submission of invoices and expenses.

 

Facilities

Facilitate office move including but not limited to hiring vendors, utilities set-up and transfer of services.

Manage sublease of current office from tenant engagement through end of lease (3 years).

Heavy vendor management including facility maintenance, IT, utilities, grocery delivery, etc.

Maintain office look/feel and coordinate necessary repairs/upgrades.

Maximize office layout as headcount increases; facilitate intra-office moves.

Help keep kitchen, meeting rooms, and office common areas clean and tidy; make it easy for people to clean up after themselves.

Manage office catering; place orders and assist with setup and cleanup.

 

People & Environment

Own new hire setup & welcome - new hire paperwork, manage IT setup, send checklists to hiring managers, facilitate employee headshots and lead the orientation of IT data files

Post open roles to job boards

Manage budgeting, ordering and stocking of food for kitchens

Plan and coordinate company-wide events including volunteer opportunities, offsites, "family" lunches, happy hours and other fun stuff

 

THE CANDIDATE

The successful candidate in this role will have a meticulous eye for detail, exercise excellent judgment, be proactive, highly organized, a natural problem solver, self-driven and calm under pressure. CAPABILITIES AND SKILLS REQUIRED

4+ years’ experience in office management with heavy operational logistics, leading projects and working cross-functionally in a fast, growing environment; successful track record managing a multi-site/suite structure preferred. 

Expert organizational skills with an eye for consistency, quality, and order.

Tech savvy with excellent computer skills (MS package + G suite) and capable of assisting with IT needs and hardware management; previous IT support experience a must. 

Vendor management including sourcing, relationship building, accountability, and follow-up. 

Outstanding customer service and work ethic. 

Top notch verbal and written communications skills. 

 

 

DETAILS

LOCATION: San Francisco, CA – Currenlty near the Palace of Fine Arts. Moving to Jackson Square in October. Facilitating this move will be a large part of your role.

HOURS: Full Time, Exempt (salaried)
