Assistant Manager
Job Summary

Under the supervision of the Property Manager, the Assistant Manager ensures efficient day-to-day customer service and office administration. This role involves handling inquiries, processing financial transactions, supporting compliance, and maintaining a well-organized workspace.

Responsibilities
  • Provide support with daily office administration including handling phone calls, sorting mail, and maintaining organized work areas.
  • Assist in preparing correspondence, newsletters, memos, and other administrative documents.
  • Manage resident inquiries, enforce property rules, and coordinate lockout responses and wellness checks.
  • Process rent payments and other financial transactions, ensuring accuracy and timely bank deposits.
  • Collect timesheets and review payroll in the absence of the Manager.
  • Support compliance by maintaining accurate resident files, completing certifications, and preparing documentation for audits.
  • Assist with marketing and leasing tasks such as reviewing rental applications, conducting unit tours, and verifying applicant information.
  • Maintain adherence to fair housing regulations and property policies.

Requirements
  • Experience in office administration, customer service, or property management.
  • Strong communication and interpersonal skills to interact effectively with residents and vendors.
  • Ability to accurately process financial transactions and maintain detailed records.
  • Knowledge of compliance, fair housing regulations, and proper documentation procedures.
  • Physical ability to perform tasks such as sitting for extended periods and lifting up to 25 pounds.
  • Basic computer skills for data entry, file management, and use of office software.

  • Excellent customer service and administrative capabilities.
  • Strong organizational and time management skills.
  • Effective communication and problem-solving abilities.
  • Proficiency in handling financial transactions and record keeping.

Summary Qualification
  • Prior experience in property management or a similar administrative role.
  • Familiarity with fair housing guidelines and regulatory compliance.
  • Ability to multitask and work independently in a dynamic environment.
  • Proven track record of maintaining clean, efficient, and organized office operations.
